Host the party of a life time with a themed marquee

A BEAUTIFUL GOURMET WEDDING RECEPTION IN THE SURREY HILLS

Marquee Hire had the honour of  providing a marquee for a special wedding, here’s what Justin from Catered by Justin had to say about the day.

Summer Wedding

Rob and Laura had a sneaky wedding at the register office in Sunny Surrey, but then came the full-on blessing in a farmer’s field 15 miles away where we held a marquee for ninety-eight guests.

It’s 10am and another day begins for the Catered by Justin team. The chefs have to get to the farm early as we always cook the meat slow and low from scratch on site. It’s better that way, of course.

At noon the first of the ‘front of house’ crew turn up to chill down the wines, put up and decorate the tables, lay out the glassware and set up the bar. We always have this done in plenty of time so you would never know. The marquee was put up by Marquee Hire Sussex couple of days prior but we have to wait so nothing gets dusty.

At 2pm Rob and his best man arrive at the farm; the rest of the guests trickle in over the next hour and Laura arrives just after 3 o’clock (late, of course). They were all greeted by the mouth-watering aroma of the Dedham Vale beef cooking in our special outdoor oven, attended to by one of our brigade of chefs. Just a little sensory tease of what will be in store for the rest of the day.

As the service draws near, the guests make their way to their seats – bales of straw that blend with the picturesque backdrop of a countryside field here in beautiful Surrey.

It’s approaching 4 o’clock, the service has just ended – short but very sweet. Now all the guests gather outside the marquee for a glass of Sipsmith gin and rose lemonade (a fantastic long drink for a summer’s day) and an exquisite selection of canapés, while the newlyweds have a few photographs taken around the venue. The happy couple then join their guests for a quick chat before the meal (with a difference) is served.

At 5pm the best man boisterously requests that everyone make their way inside the marquee. It takes a good quarter of an hour to get all the guests to their places.

The sharing deli platters are already on the tables (two large dishes on each table of 10 guests) filling the room with colour. Such delectable fare invites the guests to simply tuck in and share; there are no awkward silences when it comes to sharing food.

At quarter to six the starters have been cleared and the bar team quickly top up everybody’s glasses ready for the speeches to begin. Laura decides to do things this way as her dad was really nervous about his speech; once they are all out of the way everybody can relax, enjoy the main course and the rest of the evening.

By half past six Rob and Laura have been suitably toasted and the main course is served – a beautiful gourmet BBQ accompanied by foreribs of succulent beef, sautéed new potatoes with honey and big bowls of seasonal salads, homemade sauces, and some sriracha chili for the more audacious guest. It’s a magnificent spread with a great point of difference to your average wedding offering.

A fine selection of red and white wine is served (approx. three glasses per person), which was provided by Rob and Laura. We did all the chilling down and sorted the glassware for them and, no, we didn’t charge them corkage, by the way.

At 7:30pm it’s time to cut the cake. We provide a lovely log end and sword for this and everybody takes lots of pics. As soon as this is done the cake is taken to the kitchen tent and cut up. On this occasion Rob and Laura opt to use the cake as the dessert, saving themselves quite a bit of cash. The Catered by Justin team just provide the plates, forks and cream.

The freshly-brewed coffee, tea and infusions table is also ready at this point. We keep this available all night so people can pop by at any point for a pick-me-up and chill.

It’s now half past eight and time to gather everyone back into the marquee for the first dance… (Not exactly a YouTube sensation on this occasion). The music is provided by a local band called The Modern Apes, whom we actually recommended from a previous wedding. They had to learn the first dance song as it was a lesser-known hit by Blur which was not in their portfolio. Undeterred, they nailed it…

The bar is also now in full swing with a nice draught lager and a cask of ale from the new Wimbledon Brewery. They also have a choice selection of spirits, mixers and softies. The newlyweds provided much of the booze (apart from the lager and ale which we supplied), while the Catered by Justin crew came with all the glassware and ice. The bar itself was also provided by us. Rob also had a couple of bottles of special whiskey and a box of fine cigars to enjoy on the pop-up smoking terrace – a really nice, sophisticated touch.

It’s 11:30pm and people are starting to feel a little peckish after a considerable amount of dancing and the odd tipple. As if by magic a big tray or two of cheese toasties appear – they didn’t last very long…

It’s gone a quarter past midnight, last orders are announced and the music slows down a touch. Shortly after, the bar has closed and the band has played their encore. The taxis have been called. After-party, anyone?

One o’clock, the Catered by Justin team has cleared everything and tidied the marquee from top to bottom. We have loaded all the rubbish and empty bottles into our vans and prepare to leave the farm… Until our next soirée…

UK’s leading exhibition International Confex

Trafalgar & JF Marquees have been extremely busy these first few months of the year. They recently exhibited at an events conference in Kensington Olympia.

The UK’s leading exhibition International Confex for the meetings and events industry, Marquee Hire exhibited on the 2nd and 3rd of March allowing Marquee Hire Surrey the opportunity of showcasing their large range of marquees.

Many people had the amazing opportunity to meet our award-winning team, as well our clients, like The Jockey Club, Hilton Hotels and many more. The event was extremely successful with many customers stopping for a chit-chat over tea and biscuits.

Aside from meeting and greeting the exhibitors, visitors were able to listen to keynote speeches from luminaries, such as model and actress Lily Cole, the founder of impossible.com, an altruistic social network, plus Goggle box’s Steph and Dom.

Other highlights included: a VIP lounge sponsored by Venuelior, chocolates courtesy of Montezuma and complimentary head shots for your social media accounts.

Hire a marquee for your Valentines party

Are the marquees safe? 

Yes, our marquees are fully staked and weighted and completely fire resistant and weatherproof. They are made in accordance with EC safety standards. However to ensure a dry floor in wet conditions we would recommend that you have a hard floor.

How many guests can I accommodate in a marquee? 

What type of event are you holding? Work out the number of guests, whether they will be seated or standing. Then you possibly need to add on space for dance floors, stages, reception areas. As a general rule of thumb you need 8 sq ft minimum per person for a standing event, 15 sq ft per person minimum if they are seated. Our advisors will be able to inform you of the size marquee you need. 

Marquee flooring 

Our normal flooring is matting – similar to coconut matting – which is a close weaved man-made fibre which is sufficient for most marquee surfaces. Friendly to high heels too! However we can provide hard flooring, which we would recommend that you cover with a carpet, if the surface requires it.

Five insurance mistakes your business could be making, and how to avoid them

Do you need coverage for temporary staff and should you get a broker? Charlotte Simmonds answers your insurance dilemmas

1. Do you understand “the extras”?

Certain kinds of insurance are mandatory. These include employers’ liability insurance, covering claims brought by staff who suffer illness or injury as a result of their work, and professional indemnity insurance, covering losses incurred by clients as a result of mistakes or bad advice (although currently this only applies to solicitors seeking admission to their professional body).

When purchasing coverage for the first time, most small businesses tend to get these basics right, says Mark Sharman, a claims manager at Simply Business (which specialises in insurance coverage for SMEs). He says the problem is that they forget “the extras” – those non-mandatory policies that could make a big difference if something goes wrong.

“We conducted some research among our customers in 2013 and found that around 75% say insurance documents are hard to read and insurance websites hard to navigate,” says Sharman. “That means a lot of people probably don’t know much beyond the basics.”

One example of this, says Sharman, is “business interruption insurance” – also known as business continuity insurance. This covers a business’ losses if it unexpectedly has to stop trading for a long period of time, such as if equipment is stolen or premises are damaged.

Kevin Pratt, an insurance expert for the financial products comparison website MoneySuperMarket, agrees that there are less familiar types of insurance to consider. He cites “key person insurance” and “income protection insurance” as two examples. “The former would pay out if an important member of your team was off ill or seriously injured for a lengthy period of time, and your business lost money or had to recruit a replacement. Income protection insurance will cover a sole trader if they become sick or injured and cannot work. These are both important for small businesses because people (yourself included) are such a valuable asset.”

2. Do you need coverage for temporary staff?

Employers are legally responsible for the safety of their staff, and the Employers’ Liability (Compulsory Insurance) Act 1969 requires they have coverage of at least £5m. But do you fully understand who might be classed as an employee? It’s not just full-time staff but freelancers, contractors, apprentices, volunteers or interns may require coverage too, says Sharman.

“Say you’re a builder and you bring in contractors for extra support on a job,” he explains. “Does your employers’ liability insurance need to extend to them? The answer to this question doesn’t depend on the amount of time they work for you, it’s about the nature of the relationship. What amount of control do you have over what they do? What are the terms and conditions of their contract? It may be that you need to cover them even for a few days’ work. HSE [Health and Safety Executive, an independent watchdog] has good guidelines about who needs to be classed as an employee.”

3. What coverage is your landlord providing, and do you need more?

If your business is based in a premises (such as an office or shop), then you should have insurance to cover your equipment and/or stock, as well as public liability insurance – which covers any injury to a member of the public.

With so many small businesses based in a co-working space or serviced office buildings, it is critical to understand what type of coverage is and is not provided by your landlord, otherwise you risk either not having enough coverage or – on the flip side – paying for coverage twice.

Pratt spent 20 years running his own company before joining MoneySuperMarket, and describes his experience: “When I rented, the landlord had insurance for common areas in the building and the stairwell, but anything I took into my office – such as computers – I had to insure myself.

“If you are renting, talk to the landlord and understand to what extent they cover,” he advises. “If the coverage stops at your front door, then you need to get your own. Likewise make sure that you’re not paying for certain types of insurance twice, because you might be covered for things like public liability under your landlord’s policy.”

4. Should you ditch the DIY approach and get a broker?

Entrepreneur James Morris is the founder and managing director of Trafalgar and JF Marquees, which delivers high profile marquee events in London and the south of England.

It all began in 2007 when Morris wanted to see if he could turn his student overdraft into a business. He drew up a budget on the back of a beer mat and bought his first marquee. From the outset, Morris understood that insurance would form the bulk of his budget and that getting the right coverage was going to be critical. He says trying to become an insurance expert yourself is a waste of time; instead, invest in finding the right broker.

“When you are growing you’ve got to work out what your time is worth, and where it’s best spent,” he says. “Why would I spend hours researching policies myself? It’s not worth trying to save a quid here and there because ultimately when something goes wrong I want to know I’ve got an expert who has handled it.”

However Sharman says: “Nowadays online brokers can generate dozens of quotes from dozens of insurers in minutes, so there’s no reason you can’t take a DIY approach. 5. Are you factoring in growth?

Morris has been working with the same broker since he started out, and says it’s important to find an individual or a company that isn’t too niche. He advises looking for specialism but also broad knowledge and expertise, because (all going to plan) your business is likely to grow.

“If you are small you’ve got to be a giant-killer; you want to punch above your weight,” he says. “We therefore needed a broker who understood the whole events industry, not just marquees. I wanted to work with someone whose brain I could scan for tips and tricks.”

Sharman of Simply Business agrees that you should be “thinking about the future” when creating an insurance plan. “Consider how much work you are likely to be taking on in six months or a year’s time – this could impact on the amount of employer’s liability or public liability insurance you need. If you plan ahead then you save the hassle of having to play catch-up with your policy.”
